UX Audits for Enterprise Systems

How to audit an enterprise system's UX without rebuilding it. A lightweight assessment framework for improving what already exists.

Most enterprise systems weren't designed. They were assembled. Feature by feature, over years, by different teams with different priorities. The result is software that works - in the sense that it does what it's supposed to do - but frustrates the people who use it eight hours a day. The fix isn't a rebuild. It's an audit. A structured look at what's actually causing friction, and a prioritised plan to address it without touching the architecture.

Why Enterprise UX Degrades

Enterprise software doesn't start bad. It starts reasonable and gets worse. Here's the pattern.
Year one: a small team builds a focused product. The UX is coherent because the team is small enough to maintain consistency. Users are happy because the software is simple.
Year three: the product has grown. New features were added by different developers. Each feature works on its own, but the navigation is now confusing because it grew organically. Settings are in three different places. The search works differently on different screens.
Year five: nobody can explain why the interface works the way it does. New team members learn workarounds from experienced ones. "Just ignore that button, it doesn't do anything anymore." The software still works. It's just harder to use than it should be.

The Five-Day Audit Framework

We run UX audits in five days. Not because five days is magical, but because it's long enough to find the real problems and short enough that the client doesn't lose patience waiting for findings.

Day 1: Observe

Watch real users use the system. Not in a lab. At their desk (or these days, over a screen share). Don't give them tasks. Don't guide them. Just watch their normal workflow for 30-60 minutes each.
The things you notice in observation are different from what users tell you in interviews. Users adapt to bad UX. They don't mention the four extra clicks because they've stopped noticing them. But you'll see the hesitation, the wrong clicks, the moments of confusion.
We aim for five users minimum, ideally across different roles. A manager uses the system differently from a data entry clerk. Both have valid pain points.

Day 2: Heuristic Review

Walk through the core workflows against a standard set of heuristics. We use a modified version of Nielsen's heuristics adapted for enterprise context:
  • Visibility of system state. Does the user know what's happening? After submitting a form, is there feedback?
  • Consistency. Do similar actions work the same way across the system?
  • Error prevention. Does the system prevent mistakes or just report them?
  • Efficiency for frequent users. Can experienced users take shortcuts?
  • Information density. Is the right amount of information shown for each task?
The heuristic review catches the structural issues. The observation catches the contextual ones. Together, they give a complete picture.

Day 3: Map the Pain Points

Combine observation notes and heuristic findings into a pain point map. We categorise each issue by:
  • Severity: How much does this affect the user's ability to do their job?
  • Frequency: How often do users encounter this?
  • Fix complexity: How hard is this to change without a rebuild?
The intersection of high severity, high frequency, and low fix complexity is where you start.
Enterprise UX audits aren't about finding everything that's wrong. They're about finding the ten things that, if fixed, would make the most difference to the people who use the system every day.

Day 4: Prioritise and Prototype

Take the top ten pain points and sketch solutions. Not detailed mockups. Quick sketches or wireframes that show how the interaction could work better. These are conversation starters, not specifications.
For each solution, note:
  • What changes (UI, workflow, data)
  • What stays the same (database, APIs, business logic)
  • Estimated effort (hours or days, not weeks)
The goal is to show that meaningful improvements are possible without a full redesign. Enterprise stakeholders are sceptical of UX improvements because they associate "better UX" with "rebuild everything." A prioritised list of small, specific changes counters that.

Day 5: Present and Plan

Walk the client through the findings. Start with the observation highlights - real moments of real users struggling. This grounds the conversation in human experience rather than design theory.
Present the prioritised backlog. The client sees: here are the ten things that would make the biggest difference, ranked by impact and effort. They can start with number one next sprint.

Common Findings

After running these audits for several years, the same patterns appear across different systems and industries.
Navigation overload. Menus with 40+ items. Nested dropdowns three levels deep. The cure is progressive disclosure - show the top tasks, hide the rest behind a "more" option or a search.
Inconsistent patterns. Save buttons in different positions on different screens. Dates displayed in different formats. Search that works differently in each section. Users can't build muscle memory when patterns shift.
Missing feedback. Click a button, nothing visible happens for three seconds. Did it work? Should I click again? A loading indicator or confirmation message costs minutes to implement and saves hours of user confusion.
Information overload. Screens showing 50 fields when the user needs five for their current task. The data isn't wrong. The context is wrong. Different tasks need different views of the same data.

What Comes After the Audit

The audit produces a backlog. The backlog gets prioritised alongside feature work. The improvements ship incrementally. After three to four sprints of UX improvements, we run a quick follow-up observation to measure impact.
The goal isn't perfection. It's improvement. An enterprise system that's 30% less frustrating to use is a meaningful business outcome. Users are faster. Training time decreases. Support tickets drop. Those are measurable returns from a five-day investment.
